Getting Started
How do I start my free 14-day trial?+
Click "Start Free Trial" on our website and complete the sign-up form. Our onboarding team will contact you within 2 hours to configure your organisation, import your fleet data, and get you set up. No credit card is required to start.
How do I import my existing fleet data?+
Gazole Fleet supports bulk import via CSV or Excel for vehicles, drivers, and fuel cards. Our onboarding team will guide you through the import process step by step. For large fleets (100+ vehicles), we handle the import for you at no extra cost.
How do I add users and set permissions?+
Navigate to Settings → Users → Invite User. You can assign roles including Fleet Manager, Site Administrator, Driver, Finance, and Read-Only. Each role has pre-configured permissions, which you can customise further per user or site.
Do I need to install any hardware?+
No hardware is required to get started. Gazole Fleet is a pure web platform — you manage everything from your browser. Optional integrations with fuel dispensers and card readers are available for advanced setups, but these are not required.
Is there a mobile app?+
Gazole Fleet is fully responsive and works on any mobile browser. A dedicated iOS and Android app is currently in development and will be available later in 2025. Sign up for our newsletter to be notified when it launches.
Fuel Management
Which fuel card providers does Gazole Fleet support?+
We integrate with all major South African fuel card providers including Engen, Shell, Total Energies, BP, and Sasol. Transaction data is imported automatically on a daily basis, with same-day matching available on supported networks.
How does fuel exception detection work?+
Our system compares each fuel transaction against the vehicle's tank capacity, expected fill frequency, and historical patterns. Transactions that exceed expected volume, occur at unusual times, or are made at unexpected locations are automatically flagged as exceptions for your review.
Can I capture fuel transactions manually?+
Yes. You can capture fuel fill-ups manually from the Fuel → New Transaction screen. Manual entries go through the same exception detection as automatic card imports. This is useful for cash purchases or sites not covered by your card network.
Vehicles & Drivers
How do I add a new vehicle to my fleet?+
Go to Fleet → Vehicles → Add Vehicle. Enter the registration number, make, model, year, fuel type, tank capacity, and current odometer reading. You can also set service intervals, assign a site, and link a fuel card at this point.
How do licence and CODF expiry alerts work?+
When you add a driver, enter their licence and CODF expiry dates. The system automatically sends email alerts at 60, 30, and 7 days before expiry. You can configure alert recipients and lead times in Settings → Notifications.
Reports & Analytics
Can I schedule reports to be emailed automatically?+
Yes. In Reports, click the clock icon next to any report and set a schedule (daily, weekly, or monthly). Enter one or more email addresses and choose the format (PDF or Excel). Reports are delivered to your inbox automatically — no manual action required.
What export formats are available?+
All reports can be exported as PDF, Excel (.xlsx), or CSV. The management summary report also exports as a formatted PowerPoint for board presentations. Exports are available from the toolbar on any report screen.
Billing & Account
How does billing work?+
Billing is monthly in South African Rand (ZAR). Invoices are generated on the 1st of each month and sent via email. We accept EFT bank transfer and all major credit/debit cards. Annual billing with a discount is also available — contact us for a quote.
How do I cancel my subscription?+
You can cancel at any time by contacting our team at support@gazole.co.za or through your account settings. Cancellations take effect at the end of your current billing period. Your data is retained for 30 days after cancellation and can be exported at any time before deletion.
API & Integrations
How do I connect Gazole Fleet to my ERP or accounting system?+
Gazole Fleet provides a REST API with full documentation. We offer pre-built connectors for common South African accounting packages. To get your API key, go to Settings → Integrations → API Keys. Our technical team can assist with custom integrations at no additional cost.
